LAST UPDATED: 1 OCTOBER 2026
This explains what personal data we collect, why we use it, who we share it with and the choices you have. We do not sell personal data.
1. Who we are
Motif Motion Pte. Ltd., trading as CrowdOS ("we", "us"), operates the CrowdOS website and Service. This policy explains how we handle personal data in line with Singapore's Personal Data Protection Act 2012 ("PDPA") and, where they apply to you, other data protection laws. Our data protection contact is reachable at hello@motifmotion.sg. It forms part of our Terms of Service.
2. What we collect
- Account data: your name, email address, organization, password credentials, profile details and preferences.
- Billing and transaction data: payment-related details we receive from our payment processor (we do not store full card numbers), top-ups, subscriptions, invoices and wallet activity.
- Content you submit: questions, materials, audience definitions and other content you put into the Service, and the Results generated for you.
- Usage and device data: IP address, browser and device type, pages and features used, dates and times, and diagnostic information.
- Support communications: messages you send us and our replies.
- Acceptance records: records of your acceptance of our terms and policies and of payment acknowledgements, including date, time, IP address and version.
- Cookies and similar technologies: described in our Cookie Policy.
We collect this data directly from you, from your use of the Service, from your organization if it has set up your account, and from our payment processor. If you give us personal data about another person, you confirm that you have their consent or another lawful basis to do so. Please do not submit personal data about other people, or sensitive data, unless you are entitled to do so. See our Acceptable Use Policy.
3. How we use personal data
We use personal data only for purposes that a reasonable person would consider appropriate in the circumstances, and that we have told you about or that the law permits. In particular, we use it as follows.
- to provide, operate, secure, support and maintain the Service and your account;
- to process payments, issue receipts and invoices, and manage Credit and subscriptions;
- to detect, prevent and investigate fraud, abuse and security incidents;
- to respond to requests and provide support;
- to understand how the Service is used and to improve it, including by analysing usage in aggregated or de-identified form;
- to verify identity, manage access and keep records of the instructions and confirmations you give us;
- to communicate with you about the Service, changes to our terms and, where permitted, our offerings;
- to comply with law and the requests of authorities; and
- to enforce our terms and to establish, exercise or defend legal claims.
4. Consent and withdrawing it
Where the PDPA requires consent, you give it when you provide data to us for the purposes described here, including by creating an account or using the Service. We also rely on exceptions that the law allows, such as where processing is necessary for our legitimate interests or to comply with law. You may withdraw consent at any time by writing to hello@motifmotion.sg. Depending on the extent of the withdrawal, we may no longer be able to provide the Service to you, and withdrawal does not affect processing already carried out or processing we may continue to do where the law allows.
5. Disclosure
We do not sell personal data, and we do not disclose Your Content to other customers. We disclose personal data only as needed and to the following categories of recipients:
- service providers that help us run the Service: payment, hosting and infrastructure, security, communications, analytics and AI and technology service providers, who may process data only on our behalf and for those purposes;
- professional advisers such as lawyers, auditors and insurers;
- courts, regulators and other authorities where we are required or permitted by law; and
- a successor or acquirer in connection with a merger, sale or reorganization of our business.
6. Transfers outside Singapore
Our service providers and their systems may be located in, or may process personal data in, other countries. Our service providers may process personal data in other countries. Where we transfer personal data outside Singapore, we take steps to ensure that it receives a standard of protection comparable to that required under the PDPA.
7. Retention
We keep personal data while your account is active and afterwards for as long as needed for legal, tax, accounting, security and dispute purposes. Records of acceptance of terms, payment acknowledgements and transaction records are retained after an account is deleted for as long as needed to establish, exercise or defend legal claims and to meet legal obligations. When data is no longer needed, we delete or anonymise it.
8. Security
We make reasonable security arrangements to protect personal data, as the PDPA requires. No system is fully secure, and we cannot guarantee that unauthorised access will never occur. If a data breach occurs that the law requires us to notify, we will notify the affected individuals and authorities as required. You are responsible for keeping your credentials confidential, and for choosing a strong password and protecting the devices you use to sign in. If you become aware of any suspected misuse of your account, please tell us at once.
9. Your rights
Subject to applicable law, you may ask us to give you access to the personal data we hold about you and how it has been used, to correct it, to delete it, or to stop using or disclosing it by withdrawing your consent. Write to hello@motifmotion.sg; we may need to verify your identity. We aim to respond within 30 days, and will tell you if we need longer. Where the law permits, we may charge a reasonable fee for access requests. We may refuse or limit a request where the law allows, for example where records must be kept for legal reasons.
10. Complaints
If you have a concern about how we handle your personal data, please write to hello@motifmotion.sg with enough detail for us to look into it. We will acknowledge it, investigate and reply within a reasonable time. If you remain dissatisfied, you may contact the data protection authority that has jurisdiction, such as Singapore's Personal Data Protection Commission.
11. Children
The Service is intended for business use. It is not directed to anyone under 18 and we do not knowingly collect personal data from them. If you believe a child has given us personal data, please contact us and we will delete it.
12. Synthetic respondents and automated outputs
Results are generated by AI. The synthetic respondents in the Service are not real individuals, and their answers are not the views of any real person.
13. Changes to this policy
We may update this policy from time to time to reflect changes in our practices, the Service or the law. We will post the new version here with its effective date and, for existing users, ask you to accept it where our Terms require. Continued use after notice is your acceptance of the update. This version takes effect on 1 October 2026.
14. Direct marketing and communications
We send you service messages such as receipts, security notices and updates to our terms; these are part of the Service and you cannot opt out of them while you have an account. We will send you promotional messages only where the law allows, and you can opt out at any time by using the link in the message or by writing to hello@motifmotion.sg.
